Title: Accounting/Office Manager, Optimal Tool Inc.
Hiring Company Industry: Distribution / Diversified
Reports to: President and GM
Location: Chicago, IL
COMPANY OVERVIEW
Optimal Tool Inc. is a recently set up, US based company in power tool and
related accessories distribution. We represent our own factories in China
and can deliver the best quality to price ratio products for the end users.
We are able to provide the wholesaler/retailer customers a full service
package from product marketing, engineering, manufacturing to aftermarket
service. We are an ideal partner for the customer who wants to develop his
own private label power tools.
JOB DESCRIPTION
Accounting/Office Manager:
The position is responsible for daily accounting activities and limited
administrative duties, in charge of EDI system and keeps on tracking budget
vs. cost. He/She reports to the President on the regular finance reports
and balance, profit/loss statements; assist in developing banking and
investors’ relationship. He/She also reports to GM on daily accounting
activities in sales and purchasing, including managing the EDI system and
keeps it running smoothly with our customers.
Essential Functions:
Prepares financial reports, balance sheet, profit and loss statement,
statement of cash flows; Records sales orders and purchase orders; Records
sales invoices and the related cost of sales; Records and reconciles cash
transactions/ handles and reconciles Petty Cash; Processes and tracks
accounts receivable and payable; Prepares and reviews forecasts, budgets,
variance reports; Processes/approves employee expense reports;
Manage payrolls; Reconciles bank accounts; Analyzes, establishes, and
updates standard costs; Analyzes revenue and expenditure trends and
recommends appropriate budget levels, ensures expenditure control; Resolves
accounting discrepancies; Identifies and implements process improvements;
Leads quarterly close processes to ensure timely, accurate close and
financial statements; Records, Responsible for managing the customer
relationship and enrolling, setting-up and converting customers to EDI; Will
meet and interact with potential EDI customers face-to-face and on the
phone to communicate and explain EDI system functionality and set-up process
; Responsibilities will also include ensuring accuracy of pricing data,
identifying and researching discrepant pricing data as well as supporting
efforts to identify potential process improvements and improving customer
understanding and use of EDI; Individual will maintain constant
communication with customers, sales team and management including occasional
travel to customers, vendors and other company facilities.
In charge of office suppliers, mailing and delivery, and maintenance and
expenses.
JOB REQUIREMENTS
Education and/or Experience
 4 year college degree with course work in Accounting
 7-10 years of total relevant professional accounting experience
Skills/Specialized Knowledge
• Chinese speaking
• Knowledge of EDI system and import/export/distribution business
in general
• Knowledge of generally accepted accounting practices and
principles (GAAP)
• Knowledge of federal and state tax system, especially for small
business
• Knowledge and experience in project accounting, cost accounting,
budgeting
• Excellent customer service and interpersonal skills; ability to
relate to others.
• Professional verbal and written communication skills.
• Ability to maintain flexibility and creativity in a variety of
situations
• A CPA or parts passed is preferred but not required
